How we handle your data

Last updated: 2 November 2026

1. Who we are

Marketing OS provides a marketing command center that brings strategy, campaign planning, opportunities and performance reporting into a single workspace. This policy explains what information we collect when you use the product, why we collect it, and the choices you have.

2. Information we collect

Account information: your name, email address, role and authentication details when you register or are invited to a workspace.

Workspace content: the strategies, campaign briefs, opportunities, performance metrics and messages you and your team create in the product.

Preferences: settings such as your reporting currency and display preferences.

Usage and device data: pages viewed, features used, browser type, approximate location derived from IP address, and diagnostic logs used to keep the service secure and reliable.

Connected data: if you connect a third-party service such as an advertising, analytics or CRM platform, we access only the data you authorise so it can be displayed in your workspace.

3. How we use information

To provide the service: authenticating you, storing your workspace data, and rendering the dashboards, reports and AI-generated recommendations you request.

To improve the product: understanding which features are used, diagnosing errors and prioritising improvements.

To communicate with you: service notices, security alerts and, where you have opted in, product updates. You can unsubscribe from marketing messages at any time.

To keep the service safe: detecting abuse, fraud and unauthorised access.

4. Legal bases

Where data protection law requires a legal basis, we rely on performance of our contract with you (providing the service), our legitimate interests (securing and improving the product), your consent (optional marketing communications and non-essential cookies), and legal obligation where applicable.

5. AI features

When you use AI-powered features, the prompt you submit and the relevant workspace context are sent to our model providers to generate a response. We do not use your workspace content to train third-party foundation models. AI output is a suggestion — always review it before relying on it for business decisions.

6. Sharing information

We do not sell your personal information. We share it only with service providers who help us run the product (hosting, authentication, AI processing, email delivery, payment processing), under contracts that limit their use of the data to providing those services; with other members of your own workspace, according to the permissions your administrators set; and where required by law or to protect rights and safety.

7. Data isolation and retention

Workspace data is isolated per account, so one customer cannot access another customer’s records. We keep personal information for as long as your account is active, and for a reasonable period afterwards to meet legal, tax and security obligations. You can request deletion of your account and workspace data at any time.

8. Security

We use encryption in transit, access controls, isolated storage and monitoring to protect your data. No system is completely secure, so we recommend strong unique passwords and prompt removal of access for people who leave your team.

9. Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal information, object to or restrict certain processing, and withdraw consent. To exercise these rights, contact us through the contact page; we may need to verify your identity first. You can also lodge a complaint with your local data protection authority.

10. International transfers

Our providers may process data in countries other than yours. Where that happens, we rely on appropriate safeguards such as standard contractual clauses to protect your information.

11. Children

Marketing OS is intended for business use and is not directed at children under 16. We do not knowingly collect personal information from children.

12. Changes to this policy

We may update this policy as the product evolves. When changes are material, we will notify workspace administrators by email or in the product before they take effect.

13. Contact

For privacy questions or requests, reach us through the contact page and we will respond as soon as possible.
